Executive Assistant/Practice Manager
SoundHR LLC is a consulting firm seeking an Executive Assistant/Practice Manager to provide personal and professional support. The role involves managing client relationships, overseeing administrative tasks, and ensuring efficient communication within the practice.
Responsibilities
Responsible for creating a high-level and proactive client experience, building strong relationships with prospects and current clients, and providing top-notch client care
Provide tactical customer service to all clients and external stakeholders
Maintain internal client information and records
Invoicing and tracking
Pre- and post-client session communications
Oversee various administrative tasks, including travel arrangements, reporting, meeting preparation, event planning, invoicing, and personal tasks
Email inbox, calendar management, and scheduling
Conference room management including lunch arrangements
Coordinate meeting logistics for participants (in-person, hybrid, and virtual), pre and post event
Manage internal and external communication in a timely and efficient manner
Inventory supply and management
CRM management (Salesforce)
Coordinate travel arrangements
Project management via Asana
Adhere to all processes and build new processes to create efficiency
Qualification
Required
Experience serving a founder/executive/coach or similar service business
Strong writing skills
Highly organized with strong attention to detail
Proactive, anticipatory thinker
High level of business acumen and ability to make sound judgment calls
Customer service oriented with an emphasis on positive attitude, warmth, and enthusiasm
Independent with the ability to work with little oversight
Action-oriented, direct, and decisive
Confident, professional communicator
