Administrative Assistant, Full Time
Integrated Real Estate Group is dedicated to enhancing the lives of residents in senior communities. They are seeking an experienced Administrative Assistant to provide administrative support and ensure efficient office operations, directly assisting the Assistant Director of Property Operations.

Responsibilities
Support Assistant Director of Operations in the office
Assisting with mail
Answer and direct phone calls and emails; including incoming complaints
Maintains organization of office and office supplies with monthly ordering; including water, coffee, etc. as needed
Strictly follows monthly reporting and procedures calendar
Collects weekly reports and weekly numbers from the field and reports results directly to the Assistant Director of Property Operations
Completes monthly the following reports: Deposit Disposition, Delinquency, Sex Offender. Will also create the Manager’s Monthly Calendar and continually update the ISL staff travel calendar. Monthly review of property newsletters, month end close packages, renewal reports and final account statements. Will review write offs and collections reports. Will send test emails via the website as needed
Works closely with vendors and property managers to ensure all contracts for the property are current and maintains the Contracts List for each property that contain key dates for renewals/expirations, etc. Fills out and approves all property applications for accounts
Works closely with the property managers on written resident complaints received at the corporate office level. Reviews initial letters drafted from the manager and makes any changes necessary before submitting to the Regional Property Manager for final approval
Provides support for OneSite and Bluemoon software programs for on-site staff as directed by Assistant Director of Property of Operations
Schedules the annual elevator inspections from the beginning of the process to the end including receiving the current certificates
Assists in the initial leasing, advertising/marketing set up for each new property to include but not limited to: registering with the local apartment associations/Bluemoon, ordering guest cards, office signs, floor mats, pet stations, fire proof cabinets, coffee makers, entering rentable items into OneSite, setting up new accounts for office and maintenance supplies, banners, bandits signs and all marketing material needed, etc… from the pre-leasing trailer stage to transitioning into the community clubhouse
Completes other reasonable operational duties as assigned
Maintains consistent and punctual attendance record
Qualification
Required
Extended/thorough knowledge of property management and property management software
Excellent verbal, written, interpersonal and organizational skills are required
High energy level to meet high paced, positive and challenging work environment
Preferred
Knowledge of TDHCA, HOME, HUD and bond and tax credit a plus
