Administrative Support Assistant II
Auburn University is seeking an Administrative Support Assistant II to provide essential administrative and customer service support to the Facilities Management Contract Services team. This role involves acting as the primary contact for custodial requests, preparing documents, coordinating meetings, and maintaining accurate electronic records to ensure smooth daily operations.

Responsibilities
Acts as office receptionist by receiving and routing telephone calls, emails, and visitors; provides basic information and gathers necessary details as needed
Prepares documents, reports, and other materials; composes and edits routine correspondence as directed
Serves as the primary contact for the email account, ensuring timely responses and appropriate follow-up with customers
Schedules monthly, quarterly, and annual contract review meetings for Contract Services
Conducts occasional walkthroughs with Contract Services personnel and contractors to monitor performance and compliance
Drafts penalty letters and other official correspondence related to contractor performance
Maintains office supply inventory and places orders for materials and equipment as needed
Processes and prepares various forms, including work orders, purchase orders, and personnel documents
Creates and maintains accurate electronic records, files, and documents in Box (Auburn)
Calculates, posts, and verifies data for standard financial statements, reports, and vouchers
Provides administrative support to all shops as needed within Campus Services, including WRRD and Work Management
Qualification
Required
High School diploma or equivalent and 2 years of experience in clerical support services
Standard knowledge of office functions
Working knowledge of Auburn University administrative systems appropriate to the position
