Responsibilities
This position is responsible for overseeing the day-to-day operations and overall workflow of department business. Including ensuring compliance with policies, procedures and systems and maintaining department leadership and staff updated on any changes. Directly supervises department staff. Establish priorities, procedures, and deadlines. Sets work schedules and reviews work priorities for staff. Evaluates progress and overall work performance. Coordinates the overall human resource function for the department. Provides administrative stability and leadership to the Director, Faculty, Staff, and Students by balancing the sound use of independent judgment with appropriate consultation. In addition, this position is expected to attend weekly leadership meetings with the Department Chair and other leadership, lead weekly administrative staff meetings and schedule and provide agendas for departmental and budget council meetings. The administrative manager is expected to assist the Chair and department leadership with reports, projects, issues, and initiatives, inform the Chair of deadlines, ongoing processes, and departmental updates and provide administrative stability and leadership. Attend regular meetings with college leadership, liaise with various offices across campus and serve on college committees as requested
This position is expected to manage and collaborate with department leadership regarding all department budget and resource allocation. This includes participating in the planning of academic undergrad and graduate courses each semester and manage it within instructional budget limits and projections to maximize undergraduate student credit hours and other university, college, and unit priorities. This position will also supervise all scholarship programs in conjunction with departmental staff, development, undergraduate education and graduate studies
Serves as front-line coordinator and advisor to faculty concerning promotion process and works with the Director, School's Budget Council, and Dean's Office to assemble dossiers and ensure compliance with all procedures and requirements. Initiates and coordinates preparation of materials for mid-tenure and post-tenure reviews. Attend and participate in School, College and University meetings, training, events. Coordinate faculty annual evaluations, reports, comprehensive periodic reviews, third-year reviews, committee assignments, commencement assignments, peer teaching reviews, and teaching award nomination packets. This position is responsible for managing all aspects of the faculty recruitment and onboarding process, including collecting and processing all documents necessary for faculty hires and maintaining professional track faculty contracts. This position is also responsible for managing all aspects of the faculty life cycle including but limited to, course releases, leave requests and summer compensation
This position is responsible for coordinating with Moody HR and UT HR teams with all aspects of the staff and student employment life cycle. This includes recruiting, hiring, and onboarding of faculty, staff and students. This position is expected to collaborate with UT HR and Moody HR regarding employee relations and performance management. This position will act as the timekeeper for RTF faculty, staff and students and collaborating with Moody HR regarding absence and leave requests
Qualification
Required
Bachelor's degree and five years of responsible level experience in program management and coordination of programs, or Master's degree and three years of above experience
Proven ability to prioritize responsibilities and manage concurrent projects, while maintaining a high level of accuracy and attention to detail
Ability to meet overlapping deadlines
Demonstrated strong organizational skills
General financial and budgeting knowledge
Excellent interpersonal, oral communication, and writing skills
Demonstrated analytical, problem-solving and critical thinking skills
Demonstrated ability to perform work independently
Experience supporting faculty and staff
Preferred
The ideal candidate should be innovative, skilled at anticipating changing priorities, a self-starter, highly collaborative, able to work well under changing environments, respond well to feedback, and work well as part of a team
Skilled with interacting with a variety of constituents/customers
Experience with DEFINE and Workday
Working knowledge of university policies and procedures and an understanding of university organizational, cultural and academic structure as well as knowledge of resources
Experience with university's HR policies and procedures, including faculty affairs

Retirement Plan Eligibility: The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
