IT Coordinator

Brilliant Agency is a respected and rapidly growing agency focused on family-oriented brands. They are seeking a full-time IT Coordinator to support the growth of both Brilliant and its sister company, FamFluence Talent Management, by ensuring smooth onboarding, resolving IT requests, and maintaining core systems.

Responsibilities

Ensure staff, interns, contractors and clients are onboarded smoothly and securely
Track, prioritize, and resolve IT requests with minimal disruption
Ensure core systems remain organized, documented, and reliable
Make sure data used by teams is accurate, accessible, and well-maintained
Provide Tier 1 help desk support in a fully remote environment across macOS and Windows (with opportunity to grow into Tier 2 support)
Respond to and resolve employee support tickets related to devices, access, connectivity, and SaaS/database tools
Ensure business development and lead generation workflows are supported by clean, consistent, and well-governed sourcing data
Follow established escalation procedures and document all issues and resolutions
Complete frontline onboarding and offboarding for employees, interns, contractors, and clients
Provision and deprovision user accounts across core systems; manage roles, permissions, and access reviews
Create and maintain internal IT documentation, runbooks, and standard operating procedures (SOPs)
Document recurring workflows, system changes, and known issues
Maintain routine data health checks in Airtable and HubSpot, including deduplication and validation
Assist with data collection, normalization, and validation for business development and marketing workflows
Make basic updates to Airtable bases as needed, including queries, filtering, and user interface/view adjustments
Prepare and maintain recurring reports and audits

Required

1–3 years of experience in IT support, systems administration, or IT operations
Experience supporting hardware and software in macOS and Windows environments
Experience with Google Workspace and Google Admin (Sheets, Drive, Gmail, Calendar)
Familiarity with SaaS user account management, seat allocation, and access control
Experience with Airtable or other database management tools
Basic understanding of security best practices (least privilege, MFA, access reviews)
Strong organizational skills with the ability to prioritize competing short-term and long-term tasks
Ability to work independently while collaborating effectively with a team
Is passionate about continuous learning, and embraces emerging technologies with an emphasis on automation

Preferred

Experience with HubSpot, ZoomInfo, Apollo.io, or similar platforms
Experience working in a fully remote or distributed workplace
Experience supporting SaaS-heavy, cloud-first environments
Experience using automation tools and AI-powered workflows to improve operational efficiency
Familiarity with marketing, brand development, or influencer-focused organizations
