HR Operations & Compliance Specialist

Responsibilities
Ensure compliance with federal, state, and local employment laws (e.g., FLSA, FMLA, ACA, EEO, OSHA, state-specific regulations)
Maintain HR compliance documentation, including employee handbooks, workplace postings, standard operating procedures, and policy acknowledgments
Conduct audits of I-9 forms, payroll/benefit data, and employee files to ensure accuracy and compliance
Responsible for filing annual EEOC
Manage employee data lifecycle (new hire, transfers, promotions, terminations) in ADP Workforce Now (WFN)
Generate reports and dashboards in ADP WFN to support HR, Finance, and leadership teams
Maintain data integrity through regular audits and support system enhancements or integrations
Manage and monitor the shared HR inbox, responding to employee inquiries, triaging requests, and escalating issues as appropriate to ensure timely and accurate resolution
Partner with the Benefits Department to ensure accurate benefit eligibility, enrollment data, and compliance with applicable laws. (e.g., ACA, COBRA, 1095-C/1094-C)
Support the design and delivery of HR programs, such as onboarding, employee engagement initiatives, and recognition programs
Draft and distribute employee communications related to policies, programs, and compliance requirements
Partner with HR leadership to roll out initiatives that strengthen employee experience and organizational culture
Identify opportunities to streamline HR processes for efficiency, scalability, and compliance facilitating standardization across all states and entities as needed
Assist with implementation of new HR policies, technologies, or workflows
Maintain up-to-date knowledge of HR best practices, compliance requirements, and ADP system capabilities
Qualification
Required
Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience)
3+ years of experience in HR operations, compliance, or related HR function
Hands-on experience with ADP Workforce Now (WFN) required, including employee data management and reporting
Strong knowledge of federal and state employment laws and HR compliance practices
Excellent organizational skills with strong attention to detail and accuracy
Ability to manage sensitive information with discretion and integrity
Strong written and verbal communication skills, with the ability to draft clear and engaging employee communications
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) or equivalent
Preferred
Experience supporting multi-state or multi-entity organizations
Prior involvement with HRIS implementations, enhancements, or integrations
