Sales Administrative Assistant
Sonoma Promotional Solutions is seeking a Sales Administrative Assistant to support their sales team. The role involves providing administrative support, managing customer service tasks, and assisting Account Executives throughout the sales process.
Responsibilities
Screen inbound calls
Write up and/or proofread and enter all orders
Assist with all paperwork to maintain the flow of each project to turn into accounting
Research similar projects for quotes
Follow up with clients on status as required
Assemble research for reorders
Call potential clients with expiring quotes, and other customer outreach as required
Keeps samples of all catalog programs on file (binder)
Monitor shipping report with expected orders shipping the coming week by factory
File all shipping quotes for Account Executives (AEs)
Catalog and samples requests shipped the day requested if in by a certain time
Research old customer reorders for price accuracy and quantity
Licensing, TM and manufacturing paperwork as needed
Fill out order confirmation docs when customer does not have PO
Check each incoming order for shipping instruction accuracy
Alert Accounting on direct ship candidates
Maintain project files for AEs
Assist with desk in AEs absence
Provide Customer Service as directed by AE
Input final quote and final approved factory artwork in drop box on customer record
CRM and customer records updates including new customer record creation
Qualification
Required
Proficiency at tasks assigned
Ability to learn quickly, work with minimal direction and deliver thorough and complete outcomes
Willingness to expand the role and accommodate additional duties
