Operations Administrative Assistant
Better Buzz Coffee is a growing USDA Organic Certified Coffee Roaster based in San Diego. They are seeking an Operations Administrative Assistant to provide critical administrative and analytical support to the Vice President of Operations and other leadership teams, enabling high-level execution across the organization.

Responsibilities
Provide primary administrative support to the Vice President of Operations, including complex calendar management, meeting coordination, and executive communications
Support additional Vice Presidents and leadership teams to drive alignment and operational execution
Prepare agendas, materials, notes, and follow-ups to ensure clarity, accountability, and progress
Coordinate travel logistics and expense reporting for leadership
Build, manage, and maintain Excel-based tools for tracking metrics, initiatives, timelines, and operational deliverables across multiple units and regions
Create executive-level PowerPoint presentations for leadership reviews, business updates, planning sessions, and cross-functional meetings
Ensure all materials meet executive standards for accuracy, clarity, and consistency
Support basic analysis, reporting, and visual storytelling to inform decision-making
Work cross-functionally with Operations, Finance, HR, Facilities, Construction, IT, Marketing, and other teams to support enterprise goals and initiatives
Coordinate communication, schedules, and deliverables across multiple departments and markets
Track action items and timelines across concurrent initiatives to support on-time execution
Maintain organized, scalable digital and physical filing systems
Support office operations, process documentation, and continuous improvement efforts
Assist with leadership meetings, and internal events
Provide administrative and coordination support for operational initiatives, new store openings, and growth-related projects
Anticipate needs in a rapidly changing environment and proactively resolve issues
Handle sensitive and confidential information with professionalism and discretion
Qualification
Required
Experience in a high-growth, multi-location business within the food services or hospitality industry a plus
High school diploma or equivalent (Associate's degree or higher preferred)
3+ years of administrative or executive support experience, ideally in a multi-unit, high-growth, or operations-driven environment
Advanced proficiency in Microsoft Office, with a strong emphasis on Excel and PowerPoint
Demonstrated experience producing executive-ready presentations, reports, and tracking tools
Strong written and verbal communication skills
Proven ability to manage multiple priorities in a fast-paced environment
Hybrid role with a combination of in-office and remote work
Must be able to travel as needed to support business needs across California, Nevada, Arizona, and future growth markets
Travel may include support for leadership meetings, field visits, planning sessions, and company initiatives
Preferred
Experience supporting Vice President-level leaders or senior executives
Experience working in retail, QSR, hospitality, or multi-location operations
Comfort working cross-functionally within a matrixed organization
High level of judgment, discretion, and professionalism
