Property Operations Coordinator

Responsibilities

Assists the Executive Director with Cottage agreement transaction management, scheduling tours, staffing the Cottages of Three, collecting certificate of insurance, acceptance of premise and registration fees before tenant agreement commencement date
Manages and maintains the maintenance requests/inbox to ensure a timely response to all incoming requests
Works with the Executive Director and vendors to ensure proper and timely assignment of all incoming work orders
Finalizes and closes out all completed work orders and ensures accurate invoicing
Works with the Executive Director and Marketing Specialist on tenant communications
Assists the Executive Director gathering necessary data for their monthly reporting
Maintain and update all Cottages at Ashton/Cottages of Three information within our property management software programs
Proactively identify and address any issues or concerns related to the property management software and work with the property management software companies to resolve any issues
Ensure that all property management documentation is saved and accessible to the Executive Director
Assist the Executive Director with any other tasks and responsibilities as needed
Answer all referral calls and respond within a timely manner
Ensure that all staff in the Cottages of Three are in place at all times
Ensure that all supplies/groceries for the Cottage of Three are in place at all times

Qualification

Required

Current driver's license, proof of auto insurance and means of transportation required
Minimum of one-year experience working in an operations management role
Minimum of one year working with a frail or elderly population
Proficiency with Electronic Health Records, Microsoft Word, Excel, Outlook, and PowerPoint required
Combination of education and work experience to meet requirements
Adult and geriatric patients
