Event Sales / Day-of Event Coordinator / Business Development

San Juan Oaks Golf Club is seeking an experienced and highly organized Event Sales & Day-of Coordinator / Business Development to drive private events, banquets, and social event sales while ensuring seamless event execution. This role focuses primarily on F&B-driven events and serves as the client’s single point of contact from inquiry through completion.

Responsibilities

Respond promptly to event inquiries, conduct tours
Create and present customized proposals and contracts
Maintain active pipeline in CRM (Toast,Golfback or similar)
Develop new corporate and social leads through outreach and community partnerships
Meet quarterly sales and revenue goals for private events and catering
Collaborate with the GM & Director of F&B and Executive Chef to create menu packages and pricing
Collect deposits and ensure timely final payments
Lead pre-event planning with clients — timeline, setup, décor, rentals, vendors
Create and distribute Banquet Event Orders (BEOs) to all relevant departments
Conduct site inspections and final walk-throughs
Coordinate with culinary, service, facilities, and vendors to ensure readiness
In addition to coordinating private and contracted events, this position will take the lead on club-hosted functions including member and community events, holiday celebrations, restaurant promotions, employee gatherings, and company-sponsored occasions
Act as on-site coordinator for assigned events, overseeing setup, timeline, vendors, and guest flow
Serve as liaison between client and club team
Manage post-event breakdown, billing, and client follow-up
Ensure all service standards and policies are upheld
Attend weekly leadership & F&B operations meetings
Provide monthly event summary reports with revenue, lead source, and conversion data
Support marketing initiatives by contributing event photos, social media content, and promotional ideas

Required

3+ years' experience in event sales or catering coordination at a resort, country club, or event venue
Proven ability to close business and manage multiple events simultaneously
Exceptional communication, organization, and relationship-building skills
Experience with event software and CRM systems
Proficiency in Microsoft Office and Canva/PowerPoint for presentations
Ability to work evenings/weekends as needed for events
Bachelor's degree in Hospitality Management, Business, or related field
