Operations & Client Experience Associate
Orchard Financial is a boutique, woman and queer-owned firm dedicated to helping people align their money with their lives. The Operations & Client Experience Associate will drive client onboarding processes, manage schedules, filter client inquiries, maintain client files, and optimize operational workflows.
Responsibilities
Work•fl•ow Architect:• When a new client joins us, you’ll drive the process—from setting up their portal to ensuring their DocuSigns don't get stuck in digital limbo
Calendar & Meeting Prep:• Own my schedule. Beyond just booking, you will ensure clients have the right links, prep "meeting kits" (reports/agendas) and handle post-meeting follow-up tasks
Inbox Orchestration:• You’ll help me filter the noise. You’ll be the first point of contact for routine questions, helping our clients get answers faster than I can provide them alone
Digital Librarian:• Maintain our client files and CRM (Wealthbox)
Tech Stack Mechanic:• You’ll keep our tools (CRM, Financial Planning software, Custodian portals) clean, updated, and humming
"Better Way" Finder:• We want you to see the bottlenecks. If a process feels clunky, we want you to help us build a better bridge
Qualification
Required
Previous experience in this type of role is preferred
A dedicated, distraction-free workspace and the self-discipline to work effectively from home
