Crisis Administrative & Staff Scheduling Coordinator (Located in Windsor)

The Administrative & Staff Scheduling Coordinator role is essential for managing administrative functions and coordinating staff schedules in a youth crisis stabilization unit, ensuring appropriate staffing levels and regulatory compliance.

Responsibilities

Perform administrative duties, including data entry, maintenance, filing, and report preparation
Maintain confidential youth, staff, and program records in compliance with HIPAA and agency policies
Answer phones, emails, and internal communications professionally and discreetly
Assist leadership with documentation, audits, incident reports, and regulatory compliance
Support onboarding paperwork and credential tracking for staff
Maintain organized office systems in a fast-paced, high-acuity environment
Develop and maintain staff schedules for a 24/7 residential youth program
Ensure staffing ratios meet licensing, safety, and program requirements
Coordinate coverage for callouts, shift changes, overtime, and emergency staffing needs
Communicate schedules clearly to direct care, clinical, and support staff
Track attendance, leave, and staffing trends; report concerns to management
Collaborate with supervisors to plan coverage during high-risk or high-acuity periods
Support a trauma-informed, youth-centered environment
Always maintain professionalism and confidentiality
Follow all safety protocols and emergency procedures
Work collaboratively with clinical and direct-care teams

Required

High school diploma or equivalent required
Experience in administrative support and staff scheduling, preferably in healthcare, behavioral health, or residential youth services
Strong organizational skills and ability to prioritize in a crisis-driven environment
Excellent communication, problem-solving, and conflict-resolution skills
Proficiency with scheduling systems, electronic records, and office software
Ability to remain calm and professional under pressure
