Early Intervention Administrative Assistant

Responsibilities
Creates a culture of communication by positively representing the First Steps Program, Department of Elementary and Secondary Education, and Center for Human Services. Demonstrates respect for the capabilities, backgrounds and cultural differences of families, children, co-workers, and the public consistent with trauma informed practices
Supports the SPOE Team spreadsheets, preparing reports, updating forms, and other program documents, making suggestions for improvements and new strategies if necessary, handling information requests, transferring children’s records as needed, and completing special assignments to include data entry, document preparation, intake activities, filing/uploading documents, and retention to ensure required timelines and deadlines are meet
Skilled in CHS and First Steps knowledge by having a general understanding of CHS and First Steps to respond to questions that come to the SPOE office and link families and community members to the appropriate support
Supports the SPOE office through handling all assigned administrative duties for SPOE and CHS while providing office coverage Monday through Friday 8am to 4:30pm during required contract days
Assists the SPOE with Process Improvement by supporting the region with reviewing and improving processes and creating new strategies if necessary
Responsible for promoting a positive Safety Culture is expected and necessary to make CHS a safe place in which to work. Safe work practices and policies for this position shall be reviewed and strictly followed and complete training as stated by CHS policy HRD-P-022
Qualification
Required
Associates degree (AA or AAS) in related field plus one year of related work experience or combination of education and/or experience to equal three years
Must have a valid Driver's license
Must have proof of personal valid vehicle insurance
Background screenings required prior to start
Fingerprinting after starting
Ensure the confidentiality of information regarding the program, staff, and individuals served
Excellent Excel, Word, and PowerPoint skills
