Responsibilities

Maintain and manage essential contract documents and data within the contract database in compliance with corporate and regulatory policies
Perform ongoing entry and maintenance of executed clinical trial vendor contracts
Interpret clinical contracts and payment terms to ensure accurate payment processing
Coordinate with Clinical teams, Clinical Analysts, and cross-functional partners to manage Purchase Order and Payment Requests
Audit and reconcile clinical study vendor contracts using financial systems to consolidate and validate payment history
Track invoices and payments using designated databases and systems to ensure accurate historical reporting
Investigate and resolve payment discrepancies and propose corrective actions to prevent recurrence
Coordinate payment timelines with Payment Specialists and other functional teams
Process monthly Electronic Data Capture (EDC) invoices for Clinical Study Agreements
Verify patient activity and contractual milestones prior to invoice approval
Independently resolve vendor or site payment disputes related to clinical trials
Provide clear status updates, reports, and recommendations to management
Ensure timely, accurate, and high-quality payment processing and reporting
Serve as a point of contact for internal and external stakeholders for contracting and payment-related inquiries

Required

Demonstrated experience interpreting clinical study protocols and translating protocol requirements into contractual payment structures
Advanced proficiency in Microsoft Excel, including working with complex datasets and databases; strong overall MS Office skills required
Strong analytical, critical thinking, and problem-solving skills with the ability to prioritize and manage multiple tasks independently
Ability to operate effectively in a fast-paced, changing environment with minimal supervision
High attention to detail with the ability to identify, escalate, and resolve contractual, financial, or computational discrepancies
Excellent verbal and written communication skills with the ability to collaborate effectively with internal teams, external vendors, and clinical sites

Preferred

5+ years of experience supporting clinical research operations, including clinical trial payments, finance, outsourcing, contracting, or accounts payable, is strongly preferred
Strong understanding of clinical trial contracting, payment terms, budgeting, and financial reconciliation would be a bonus
Experience working with financial and clinical systems such as SAP, RAVE EDC, MIDAS, Quantum, Qlik, COMPASS, or similar platforms would be preferred
Solid understanding of the global clinical study process and compliance requirements is a plus
