Merge Architectural Group is seeking a highly organized, proactive Administrative and Operations Support Specialist to help manage the day-to-day functions of our growing business. The ideal candidate will oversee daily operations, manage scheduling, and perform bookkeeping duties while ensuring effective communication with clients and internal teams.
Architecture & Planning
Responsibilities
Oversee daily business operations and provide executive/operations support
Manage scheduling, documentation, and workflow coordination
Perform bookkeeping duties using QuickBooks (invoicing, billing, reconciliations)
Prepare reports, proposals, and project documentation
Communicate with clients, vendors, and internal teams with clarity and professionalism
Assist with project tracking, permitting documentation, and administrative support for technical teams
Maintain organized digital and physical filing systems
Qualification
Required
Proficiency in QuickBooks (billing, AP/AR, financial tracking)
Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent communication and interpersonal skills
Proven experience supporting day-to-day business operations
Ability to handle sensitive information and maintain confidentiality
Strong organizational skills with attention to detail
Ability to multitask and remain calm under pressure
Preferred
Experience working in construction, architecture, or engineering environments (preferred)
Familiarity with informed communication or experience working in high-stress settings (a plus)
