Sales Administrative Assistant
Captain IT is an established IT Managed Service Provider seeking a highly organized Sales Administrator to support their sales efforts. This operational support role focuses on documentation, coordination, and maintaining CRM accuracy to ensure a smooth sales-to-service handoff.

Responsibilities
Prepare and manage MSP sales documents including proposals, service agreements, quotes, and amendments
Assist with managed services, cybersecurity, cloud, and project-based sales documentation
Maintain accurate records in CRM and PSA systems (e.g., ConnectWise Manage, CPQ, WisePay, and HubSpot)
Track deal stages, approvals, renewals, and follow-up tasks
Coordinate customer onboarding by ensuring all required sales documentation is complete and approved
Communicate service scope, pricing, and contract details to operations and technical teams
Verify accuracy of services sold prior to onboarding and billing setup
Follow up with interested prospects to schedule meetings
Schedule sales calls, demos, and follow-up meetings
Coordinate communication between sales, technical teams, vendors, and clients
Support account managers with contract updates, service changes, and renewals
Maintain clean and accurate customer, prospect, and contract data
Generate basic sales and pipeline reports
Assist leadership with sales activity tracking and forecasting support
Handle inbound sales-related inquiries and route appropriately
Support vendor paperwork, licensing documentation, and renewals
Assist with process documentation and continuous improvement initiatives
Qualification
Required
2+ years of experience in sales administration, sales support, or MSP administrative roles
Experience working in an IT services, MSP, or technology-focused environment
Strong attention to detail and ability to manage multiple priorities
Professional written and verbal communication skills
Proficiency with Microsoft 365 or Google Workspace
Experience working with CRM and/or PSA systems
Preferred
Experience with ConnectWise Manage, HubSpot, GlassHive, or similar platforms
Familiarity with MSP service models (managed IT, cybersecurity, cloud services, projects)
Experience with contracts, MSAs, SOWs, and renewals
Basic understanding of IT terminology and service offerings
