Assistant Real Estate Manager

They are seeking an Assistant Real Estate Manager to support the Senior Real Estate Manager in leasing and managing a commercial real estate portfolio, involving tenant relations, financial oversight, and property operations.

Responsibilities

Conduct regular vacant space inspections
Conduct walk-through of spaces before and after tenant vacates to expedite remarketing of vacant space
Coordinate tenant improvements and vacant space refurbishments
Support with leasing operations, including new and renewal lease negotiations
Review and update listing services (CoStar/Loopnet) for accuracy
Generate lease documents for electronic signatures
Conduct regular property inspections
Update and maintain digital directories
Maintain electronic property binders and tenant files
Manage day porters at office properties; assign work orders, special maintenance projects, and follow up on completed work
Support vendor bidding process for service contracts and maintenance work
Assist with bidding, implementation, and oversight of capital expenditure projects
Manage insurance certificate collection and tracking for tenants and vendors
Coordinate tenant move-in/move-out process
Manage ongoing tenant communications including incoming and outgoing calls/emails
Manage building access and tenant communications in a timely manner
Travel to portfolio properties as required
Review monthly property financial packages
Assist with quarterly reforecasts and annual budget preparation
Prepare and route electronic lease-set up paperwork
Work with accounting team to ensure smooth rental payment receipts from tenants
Review, input, and approve invoices to position thresholds for accounts payable
Review monthly rent statements prior to electronic distribution
Assist in collection of amounts due from delinquent tenants, working with outside legal counsel, as needed

Required

Prior assistant property management experience
Self-motivated with strong communication, time management and organization skills
Exceptional customer service skills
Effective written and oral communication skills
Proficient in Microsoft Office; MRI or Yardi experience a plus
Bachelors' Degree (BA/BS) in relevant field, or equivalent

Preferred

CA Real Estate License
