Administrative Assistant

Employers Options is seeking an Administrative Assistant to join a growing and dynamic team! The role involves serving as the on-site administrative point of contact, performing data entry, maintaining records, and supporting team coordination and scheduling.

Responsibilities

Serve as the on-site administrative point of contact, welcoming visitors, contractors, and residents
Perform data entry, filing, and documentation related to occupancy, services, and site operations
Maintain and organize physical and digital resident records and project files
Support scheduling and coordination of team meetings, inspections, and vendor visits
Prepare memos, forms, notices, and correspondence for residents and staff
Track inventory and supplies, and assist with ordering materials or equipment when needed
Assist with basic reporting, timesheets, and expense logs as directed by the site supervisor
Handle incoming calls and inquiries and direct them appropriately
Assist the On-Site Property Manager with projects, deadlines, and site directives
Track, sort, and record keys and other property-specific items while maintaining secure records

Required

Candidates must be residing on the island to be considered
Proven administrative or office coordination experience; 2 years preferred
High School diploma or equivalent required
Ability to work full-time on-site in Lahaina and remain on-island for the assignment period
Strong organizational skills with close attention to detail and record-keeping accuracy
Proficient with Google Workspace or Microsoft Office for documentation and reporting tasks
Professional and courteous interpersonal skills for greeting visitors and coordinating with contractors and residents
Ability to manage multiple tasks and prioritize work to meet deadlines
Comfortable working in a construction/housing services environment and following safety guidelines
Ability to handle confidential information with discretion
Reliable, punctual, and able to collaborate effectively with on-site supervisors and team members

Preferred

2 years of administrative or office coordination experience preferred
Associate's degree or related coursework preferred
Bilingual or local language fluency is a plus
