Senior Academic Operations Coordinator

The Senior Academic Operations Coordinator is responsible for coordinating and executing a wide range of operational, analytical, and project-based initiatives in the Academic Operations Division, providing high-level service to leaders, practices, and contractual partners.

Responsibilities

Develops, strengthens, and maintains effective working relationships with corporate and practice leadership, and coworkers to support seamless program implementation and execution
Serves as a central point of contact for program-related inquiries, identifies challenges and escalates concerns to academic operations leadership to assist in resolution
Coordinates cross-functional efforts to support the successful implementation of new and ongoing Academic Operations initiatives
Builds and maintains a directory of key academic stakeholders, strengthening communication channels and promoting collaboration opportunities
Leads small-scale operational projects from planning through implementation, including timelines, documentation, stakeholder coordination, and progress reporting
Maintains our proprietary trainee tracking database, Prodigy, and serves as subject matter resource. Ensures all clinical training program affiliations, student rotations, and key contacts are entered timely and accurately, in partnership with clinical practices
Performs routine and ad-hoc data analyses, dashboards, and trend reports to support strategic planning, compliance and continuous improvement and audits these reports for accuracy
Conducts ongoing market and program research to track emerging academic programs, industry trends, growth and changes, and identifies opportunities for continued growth and collaboration
Collaborates with other colleagues on training and trainee data to ensure comprehensive reporting
Prepares polished, data-driven reports and presentation materials for senior leadership and meetings as required
Develops and maintains standard operating procedures (SOPs) for the Prodigy database and related tracking systems, ensuring consistent use across the organization
Designs and disseminates dashboards that support data-driven decision-making for the clinical practices and the Academic Division
Manages the lifecycle of clinical training agreements by monitoring contract terms, tracking key deliverables, and ensuring compliance with established metrics
Maintains accurate and up-to-date records of active agreements and facilitates timely updates, amendments, and renewals of these agreements in collaboration with practices, as needed
Works closely with leadership to identify gaps or risks in agreement fulfillment and proposes process improvements
Researches and evaluates new conferences, outreach, and engagement opportunities to strengthen visibility and partnerships with academic programs and trainees
Assists with content development and presentations for various conferences, workshops, and speaking engagements, ensuring alignment with organizational goals
Documents and maintains meeting minutes, tracks follow-up items, and ensures completion of assigned tasks, as directed
Performs some administrative tasks to include meeting planning and logistics
Contributes to the development and optimization of internal processes, workflows, and documentation to enhance operational efficiency
Participates in special projects and emerging priorities as assigned within the evolving Academic Operations Division
Limited travel may be required for conferences, meetings, and site visits

Required

Bachelors degree in a related field or equivalent 1-3 years' experience
Minimum of 3 years of hospital, clinical business, or academic healthcare office experience preferred
Skill in identifying and resolving problems
Ability to maintain confidentiality
Multi-tasking skills with ability to manage a variety of projects
Ability to read, write and communicate effectively orally and in writing, as well as electronically
Computer savvy and familiar with standard office equipment
Strongly proficient in Microsoft Office Suite
Ability to perform work and maintain communication remotely
