Responsibilities
Manage front desk operations, greeting visitors and directing inquiries with professionalism and warmth
Handle multi-line phone systems, screening calls, taking messages, and transferring calls efficiently
Maintain accurate data entry and filing systems, including digital records using Google Workspace and Microsoft Office tools
Review and manage internal documents and requests
Support contract and internal document management
Coordinate repair and maintenance issues with vendors and internal teams
Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
Assist with bookkeeping activities, including invoicing and expense tracking
Provide exceptional customer service by responding promptly to inquiries via phone, email, or in person
Perform clerical duties such as proofreading documents, managing correspondence, and organizing files to ensure accuracy and accessibility
Qualification
Required

Strong typing skills with high accuracy; attention to detail in proofreading documents
Effective time management skills to prioritize tasks efficiently and meet deadlines
Preferred
Bilingual abilities are highly valued to serve diverse client needs
Previous office experience or clerical experience is preferred; familiarity with office management tasks is a plus
Experience in administration, operations, or general affairs
Retail or multi-location business experience
Japanese-English bilingual skills a plus
High school or equivalent (Preferred)
Administrative: 1 year (Preferred)
