Practice Operations & Billing Manager

KSI is partnering with a client to hire a proactive Practice Operations & Billing Manager for a pediatric therapy clinic. This role involves leading front-desk operations, coordinating scheduling and intake, and managing billing functions to ensure a smooth and efficient practice.

Responsibilities

Provide daily direction for front-desk operations and support the afternoon shift as the on-site lead
Ensure phones, check-ins, messages, and follow-ups are handled consistently and professionally
Keep intake paperwork moving — no bottlenecks
Actively monitor openings and help fill schedules (we have a waitlist)
Mentor, coach, and model a calm, welcoming, professional front-office culture
Coordinate appointments, cancellations, and reschedules with accuracy
Partner closely with therapists to ensure families understand next steps
Track and improve key metrics (attendance, cancellations, utilization, collections)
Process claims, verify insurance, and post payments
Follow up proactively on denials and outstanding balances
Maintain billing documentation and confidentiality
Work independently in a dedicated space away from the front desk
Anticipate needs and suggest improvements before issues arise
Help roll out new processes and tools
Serve as a liaison between clinical and administrative teams
Support operational planning as the practice expands
