Responsibilities

Draft confidential correspondence, edit documents, take and transcribe minutes of meetings, and perform other administrative and secretarial duties
Create, maintain, and/or update various databases
Serve as a liaison between executives, internal management, employees, clients, and visitors as required
Review incoming correspondence via paper or email, lead initiative to determine appropriate action required
Lead and monitor issues for appropriate follow up
Take independent action on handling requests; determine the appropriate course of action intervene where necessary, and act as a liaison between departments
Plan, coordinate, and support meetings and conferences
Arrange domestic and international travel and handling corresponding expense reporting
Assist with processing department financial data as it relates to budgets, accounts payable, and generating various financial queries and reports
Administer the department/business unit record keeping system
Update various department/business unit records and publications
Ensure that department/business unit files are maintained in accordance with company policies and procedures
Review requests for information and determine the appropriateness of release
Committee/Meeting organization; facilitating the technology, coordinating and distributing all materials on a weekly, monthly and quarterly basis for leadership meetings, earnings calls, etc
Manage scheduling and travel plans for the Board of Directors quarterly meeting
Work cooperatively with other administrative assistants, in positive partnership to back up each other smoothly
Complete additional administrative tasks as needed by the team/business

Required

Bachelor's degree
Minimum of two (2) years supporting an executive at the Managing Director level (or equivalent) or above
Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint)
Effective interpersonal skills, including superior oral and written communication skills
Advanced ability to organize, prioritize, multi-task, and juggle competing priorities
Tact and good judgment in confidential situations and proven experience interacting with senior management
