Responsibilities

Deliver comprehensive administrative support to the CEO, including complex calendar management, meeting coordination, and travel planning
Coordinate closely with the CEO’s spouse to align personal and business schedules across multiple entities, including agenda creation, appointments (e.g., medical), and personal logistics
Serve as a central point of coordination across internal teams to ensure the CEO’s priorities are consistently supported
Prepare agendas, briefing materials, and presentations; capture detailed meeting notes and track follow-ups to completion
Arrange sophisticated domestic and international travel, overseeing flights, accommodations, and ground transportation
Manage and submit expense reports with accuracy and in compliance with firm policies
Coordinate corporate events, offsites, and executive meetings, overseeing all logistical details
Act as the primary interface for internal and external stakeholders, ensuring clear, timely, and professional communication
Take ownership of ad hoc initiatives and special projects, exercising sound judgment and independent problem-solving

Required

Minimum of 7 years of experience supporting senior executives, ideally within asset management, financial services, or a similarly fast-paced corporate environment
Proven ability to manage highly complex schedules while handling sensitive and confidential information with discretion
Exceptional organizational, prioritization, and multitasking abilities
Strong attention to detail and accuracy
Excellent written and verbal communication skills
Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
Ability to perform effectively in a dynamic, high-expectation environment
Highly discreet and trusted with confidential matters
Proactive and anticipatory, with a strong sense of ownership
Collaborative, polished, and team-oriented
