Imaging Operations Coordinator
Casa Loma College is seeking an Imaging Operations Coordinator who will report to the Program Directors and focus on the administrative components of the imaging (MRAD, MRI, & DMS) programs. The role involves overseeing program coordination, providing administrative support, and ensuring compliance with regulatory standards.

Responsibilities
Oversee the needs of the Program Directors by advising students and assisting with accreditation activities
Ability to aid in the Coordination of clinical clearance of the students prior to clinical rotations
Maintain a regular oral and written communication with college students, Program Directors and staff
Reviews and documents TRAJECSYS for student hours and daily exam logs for externship and student attendance by reporting to Registrar, Clinical Coordinator, Program Directors, MRAD Program Chair, Director of Clinical and Professional Development
Provides information and assistance, records dates of all documents received in TRAJECSYS and distributes to appropriate personnel
Composes correspondence relating to routine inquiries pertaining to relations/networking with students, with follow up counseling and advisement of students concerning feedback
Maintains and schedules appointments for Program Directors
Provides a full range of administrative support for students, instructors, staff, and Program Directors by being accessible by email/phone for students
Assumes front desk duties and responsibilities and be the initial point of contact for students, faculty and staff not limited to overseeing clerical duties (printing power points, slides, transferring documentation to USB drives in preparation for class)
Aids Program Directors in formulating, implementing, enforcing college policies and procedures
Attends and assist with academic program meetings, open house, panel interviews, new student orientations, externship orientation, exit consoling, graduation, creating packets for all orientations and other assigned other programmatic functions
Practices appropriate problem-solving techniques and maintains current knowledge of student’s attendance and clinical progress
Collaborates with community health professionals and peers to identify current trends in imaging practice
Verifies distribution of textbooks and grades for students
Assist, attends and prepares in the program Advisory Board Committee
Implements new start calendars once approved by Program Directors and assigned to Admissions Representatives, Financial Aid, Student Accounts, Registrar, Career Services, Director of Clinical and Professional Development
Demonstrates leadership qualities in support of department needs and collaborates with various outside imaging affiliates to assure adequate resources
Participates in student development, orientation, education, and evaluation by assisting in editing and maintaining program documents under supervision of Program Directors
Participates in staff development, orientation, education and works closely with MRI, MRAD, and DMS professors in updating personnel profiles, for personal development/in services and timesheets
Aid in preparation of ARRT, ARDMS, and ARMRIT applications
Accountable for the ethical, legal, and professional responsibilities related to the college
Participate in faculty meetings and prepare and record minutes for campus staff meetings as directed by Program Directors
Create calendar invites to promote general routine communication with students at every semester start, week 7 surveys, midgrade weeks (4) and all critical dates per each cohort
Assist with site visits with Director of Clinical and Professional Development
Reports to the Program Chair of Medical Radiography
Knowledge of regulatory standards and compliance requirements
Orientation of students entering Clinical Sites not limited to reenrollment, Bridging Programs and Advance placement
Remain updated and current on all clinical problems, transfers, absences, and issues; follow up with Program Directors, Clinical Coordinator and Director of Clinical and Professional Development
Active involvement in all Open houses, Orientation, Instruction, exit counseling and other assigned Programmatic functions
Report issues to Clinical Coordinator regarding daily logins and hourly clock in/outs of students
Aid Program Directors regarding clinical sites contracts current/viable with aid from Clinical Coordinator and Director of Clinical and Professional Development
Accessibility via email or phone for staff, students, and clinical sites
Verify Student Immunization, CPR, back-ground security checks, and other clinical requirements after collection of the Director of Clinical and Professional Development and Clinical Coordinator
Review student records, ensure proper filing of attendance, academic and clinical performance
Complete Graduate and Placement Records for licensing
Support and assist in helping Director of Clinical and Professional Development, Program Director and Chief Academic Officer in the program organizational and maintenance activities
Work closely with the Program Director and Program Chair of Radiography and Professional Development to ensure organized and structured programs operation
Organize and participate in meetings with didactic and clinical faculty members
Support the Director of Clinical and Professional Development, Program Chair of Radiography in the implementation of the Program’s Standards
Facilitate IT issues on behalf of staff and students on campus
Support and assists Program Director in effective program operations and assessments
Assists Program Director in collecting and maintaining compliance documentation (based on requirements by all accrediting bodies)
Attend and participate in assigned Committee meetings
Perform various Committee tasks as needed
Assist Program Director in recruiting Program committee members
Qualification
Required
Minimum of 3 (three) years of professional administrative support experience
Must possess a High School diploma or equivalent
Ability to type minimum 50 WPM
Preferred
3 years of experience in a college/university setting
Secretarial or general office experience
