Administrative Assistant

LHH is seeking a detail-oriented and proactive Administrative Assistant to support their team on a contract basis in Arlington, VA. The role involves providing essential administrative support, managing office operations, and assisting with various tasks to ensure the smooth functioning of the office.

Responsibilities

Manage day-to-day office operations, including scheduling meetings, maintaining office supplies, and coordinating with vendors
Assist with scheduling appointments, meetings, and travel arrangements for team members, ensuring all commitments are met
Handle incoming and outgoing communications, including emails, phone calls, and correspondence. Ensure timely and accurate responses
Prepare and edit documents, presentations, and reports. Maintain organized records and filing systems
Assist in planning and coordinating events, meetings, and conferences, both on-site and off-site
Enter and update information in databases, spreadsheets, and other systems with a high level of accuracy
Provide administrative support to senior management, including handling confidential information and tasks
Prioritize and manage multiple tasks and projects, ensuring deadlines are met
Assist with basic bookkeeping tasks, including processing invoices, expense reports, and tracking budgets

Qualification

Required

Minimum of 2 years of administrative experience, preferably in a professional office environment
High school diploma or equivalent required; associate's or bachelor's degree preferred
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software
Excellent written and verbal communication skills, with the ability to interact professionally with all levels of staff and external contacts
Strong attention to detail and ability to manage multiple tasks simultaneously
Ability to anticipate needs, think critically, and offer solutions to challenges as they arise
High level of integrity and discretion in handling sensitive and confidential information
