Responsibilities
Manage collection activities for an assigned portfolio of customer accounts in a professional, efficient, and customer-focused manner
Identify factors contributing to late payments and recommend solutions to management
Investigate and resolve payment discrepancies, disputes, and related issues with professionalism
Prepare documentation for new customer setups and credit limit evaluations for management review
Obtain and review credit reports through third-party credit reporting tools
Collaborate with internal teams to resolve billing issues required to release orders on hold
Research and address customer credit memo inquiries
Process customer payments and refunds in accordance with organizational policies
Support month-end close activities and assist with preparing financial reports as needed
Review payment remittance details from shared inboxes or payment portals
Access and navigate customer portals to obtain required information or complete necessary tasks
Maintain and update customer account records, including changes to contact or address information
Ensure adherence to internal policies, procedures, and controls related to accounts receivable
Contribute to continuous improvement efforts for accounts receivable processes
Respond to customer inquiries regarding billing, invoices, and payment status
Prepare documentation related to internal compliance requirements (e.g., SOX controls)
Assist with internal and external audits involving accounts receivable
Perform additional duties as assigned by management
Qualification
Required
5+ years of collections experience
Proficiency with Microsoft Office; strong Excel skills (such as VLOOKUP and PivotTables)
Strong customer service mindset with the ability to build and maintain professional relationships
Effective communication skills for working with both internal teams and external customers
High attention to detail with the ability to manage multiple tasks and priorities
Experience using customer accounts payable portals to submit invoices, check payment status, or resolve issues
Ability to work effectively in a fast-paced environment with compliance requirements
Strong negotiation and conflict-resolution skills with a results-oriented mindset
Ability to balance maintaining positive customer relationships with ensuring timely collections
Preferred
Associate's or Bachelor's degree in Accounting, Finance, or a related field
Experience with AS400 or similar ERP systems
Understanding of credit principles, creditworthiness, and basic accounting
