Oncology Data Coordinator
Hurley Medical Center is seeking an Oncology Data Coordinator to assist in planning, organizing, and maintaining Cancer Center programs. This role involves specialized work in cancer data abstraction, case finding, and ensuring compliance with national reporting standards, while directly impacting accreditation and clinical decision-making.

Responsibilities
Assists administrative and/or physician director, program directors, and other professional staff in planning, organizing, coordinating, and maintaining cancer center programs
Assists administrative and/or physician director and program directors in preparation of plans, budgets, policies, and procedures necessary to achieve agreed upon goals
Responsible for case finding and abstracting, utilizing sources from pathology, radiology, surgery and other clinical sources
Incorporates utilization of complex guidelines to ensure accurate and compliant case capture
Provides oversight for a weekly tumor board conference, prepares and reviews cases for presentation to the multidisciplinary attendees; enters findings in the registry and provides summary of the recommendations to the clinical team
Develops, maintains and updates accreditation policies and protocols to ensure compliance with NAPBC standards
Serves as a subject-matter expert on cancer registry regulations and workflows
Conducts data analysis to identify trends and gaps, supports quality initiatives and provides validated reports for audits, NAPBC accreditation and for leadership decision-making
Works closely with oncologists, pathologists, radiologists, surgeons, navigators and leadership to resolve discrepancies, support research and provide analytical guidance
Maintains up to date knowledge of oncology coding, staging, treatment guidelines and national reporting requirements; actively participates in training, webinars and conferences
Assigns, monitors, and evaluates work of personnel. Develops, monitors, and ensures adherence to policies and procedures to accomplish agreed-upon departmental objectives. Maintains efficient productivity and customer satisfaction standards
Develops staffing and work schedules for personnel. Approves leaves, vacations, personal days, and overtime. Accurately computes and signs timecards
Interviews, hires, evaluates, disciplines, and, when necessary, recommends discharge of staff. Completes performance appraisals in a timely manner. Answers grievances
Identifies, plans, and assists in orientation, training, and in-service/continuing education of personnel
Coordinates cancer center activities with other departments or units to ensure efficient and effective delivery of services
Reviews all applicable federal, state, and local regulatory agency guidelines and professional standards governing cancer center programs and procedures. Adjusts or recommends adjustment of policies and procedures to achieve compliance
Resolves problems, obtains information, and responds to inquiries or complaints in a manner requiring considerable knowledge about Medical Center/Care Center policies, procedures, and operations
Performs difficult information gathering, completes complex calculations, drafts routine and special reports or summaries requiring knowledge of cancer center policies, procedures, and operations
Accesses computer/information systems for input or retrieval of information
Demonstrates effective judgement and ability to understand, react effectively and treat (if appropriate) unique needs of patient age groups served
Performs other related duties as required/assigned. Utilizes new improvements and/or technologies that relate to job assignment
Qualification
Required
High school graduate and/or GED equivalent
Certification as a Registered Health Information Technician (RHIT)
Certification as an Oncology Data Specialist (ODS) (see Special Note)
General oncology knowledge in multi-specialties
Ability to multitask and manage high caseloads independently under strict deadlines
EMR proficiency
Knowledge of medical and anatomical terminology commonly used in Oncology services
Knowledge of supervisory methods and techniques
Knowledge of office practices and procedures
Knowledge of appropriate federal, state, professional standards, regulations, and guidelines
Ability to communicate effectively in both written and oral formats
Ability to maintain and keep involved clerical records and to prepare accurate reports and statistics from such records
Ability to establish and maintain harmonious and effective working relationships with physicians, other Medical Center employees, and the general public
SPECIAL NOTE: Appointees to this classification who do not possess ODS certification are required to obtain certification within three (3) years from the date of appointment. Failure to attain certification as an ODS within the required period shall result in termination of employment
Preferred
Three (3) years of experience in the performance of more responsible office work in an Oncology office preferred
