Insurance Document Associate
Genesis10 is seeking an Insurance Document Mailing Associate for a 12-month contract position with a leading client located in Franklin, WI. This role is responsible for the preparation, validation, and mailing of insurance policies and contracts to clients while ensuring compliance with regulatory requirements and maintaining a high standard of quality.

Responsibilities
Ensure shipping label information (policy number, contract number, recipient details) is accurate and matches internal records
Securely affix shipping labels to envelopes and insert contracts per established standards
Conduct quality checks to prevent errors in document assembly and mailing
Generate contract shipping labels using the Dashboard data management system
Confirm label details correspond with company data records
Use automated tools to cross-reference and validate data across multiple databases
Process field requests to release, hold, or destroy contracts based on company guidelines
Investigate and resolve scanning discrepancies and coordinate with internal teams for address verification
Escalate complex exceptions to senior management and track resolutions
Record reasons for returned contracts and create new shipping labels for reprocessed items
Analyze return data to identify recurring issues and recommend preventive measures
Sort and manage contracts by designated office numbers and shipping dates
Oversee daily transport of documents and maintain accurate labeling
Monitor shipping material inventory and coordinate procurement as needed
Process policy modifications and maintain supplies for shipping operations
Assist with onboarding and training of new associates
Participate in audits to ensure compliance with regulatory and company standards
Qualification
Required
High school diploma or equivalent required
1–2 years of mail handling or customer service experience
Exceptional attention to detail and accuracy in document handling
Strong organizational and multitasking abilities in a fast-paced environment
Proficiency in data entry and Microsoft Office Suite (or similar software)
Ability to work independently while maintaining alignment with team objectives
Excellent problem-solving and communication skills
Demonstrates professionalism and discretion in handling confidential information
Preferred
Knowledge of postal procedures and shipping protocols preferred
Team-oriented mindset with a willingness to support group decisions and ideas
