Responsibilities

Maintain and manage the annual Energy HR and CTO leadership calendars, including business reviews, strategic planning sessions, and internal communication events
Coordinate all virtual, hybrid, and in-person leadership meetings, including agenda setting, logistics, minutes, and follow-up tracking
Create polished and executive-ready presentations for business reviews, town halls, and strategy meetings using Microsoft PowerPoint
Own and execute the annual communication plan for the Energy BU HR VP and CTO, including key messages, cadence, and content coordination across platforms
Provide comprehensive support to the VPs, including travel planning, expense reports, inbox monitoring, and internal approvals
Actively participate in HR and Engineering Leadership Team meetings, helping to document and drive follow-ups while fostering team cohesion
Use AI tools (e.g., Microsoft Copilot, ChatGPT) and collaboration platforms (e.g., SharePoint, Teams) to streamline administrative tasks and boost efficiency
Act as the go-to point of contact for Managing Director duty coordination. Coordinate visitors, meeting space, and executive hosting protocols. Partner with local facilities teams for office-related operations, space planning, and service issues

Required

5–7+ years of experience as an Executive Assistant or similar role in a global organization supporting senior leadership
Strong planning, communication, and content creation skills
Fluent in English (written and spoken)
Highly proficient with Microsoft Office (Outlook, PowerPoint, Excel) and collaboration tools like Microsoft Teams and SharePoint
Skilled in navigating fast-paced, matrixed environments with high attention to detail and confidentiality
Experienced in coordinating cross-functional communication and executive messaging
Comfortable using AI-enabled tools to support task automation and content development
