Administrative Assistant/Client Service Coordinator
Gagnon & Bigalke is a financial advisory practice of Ameriprise Financial Services, LLC, dedicated to helping clients feel confident about their financial future. The Administrative Assistant/Client Service Coordinator will support advisors by handling client interactions, managing office operations, and ensuring a welcoming environment for clients.
Responsibilities
Answer phones with warmth, professionalism, and clarity
Greet clients and make them feel welcomed and supported
Handle client questions when possible; if answers are not known, gather information and call the client back
Serve as a buffer for advisors by using their time efficiently when they are in meetings or focused planning
Prepare client folders, forms, meeting materials, and paperwork
Schedule appointments and assist with calendar coordination
Scan, file, organize paperwork, track status of client requests
Keep supplies organized and the office running smoothly
Complete follow up tasks - sending confirmations, reminders, and outreach as needed
Help with small operational improvements and efficiencies when things can be done better
Be on top of what is happening in the office and step in to help before being asked
Maintain a tidy, welcoming, efficient atmosphere
Contribute ideas, solutions, and energy that help the office succeed
Qualification
Required
Is reliable, on time every day and takes pride in their work ethic
Wants long term stability
Takes initiative and leverages advisor's time by answering/solving client's basic questions before involving advisors
Communicates clearly to clients via phone and in person with information from advisor
Coachable/adaptable, takes constructive criticism positively and as an opportunity to grow and better our practice
Works well in a fast moving environment with multiple priorities
Brings a low drama, professional and an easy to work with presence
Balances being friendly and personable with staying productive and focused
Requires 100% confidentiality and professionalism when working with financial and personal client information
Ability to work full time, 40 hours weekly
