Administrative Assistant II (5063)

The Southeastern Pennsylvania Transportation Authority (SEPTA) is the sixth-largest transportation system in the U.S., connecting communities across a 2,200-square-mile service region. They are seeking an Administrative Assistant II to assist in coordinating administrative, secretarial, and clerical functions for the department, while managing daily operations.

Responsibilities

Manages the daily administrative functions of the department
Provides assistance in administrative and secretarial related functions
Reads and routes incoming mail, oversee filing of correspondence and other records
Responsible for maintaining attendance records and inputting payroll into CAPES/INFOR
Responsible for administrative tasks which includes scheduling meetings, receives, and disseminate information, relieving manager of clerical and minor business details
Prepares and coordinates travel arrangements for staff
Interfaces with various levels of management both inside and outside the authority
Prepares various reports, PowerPoints and/or Spreadsheets
Composes letters, memos and correspondences as necessary
Serves as back up for other Administrative Assistants as appropriate
Performs other duties as assigned
Complies with all Authority and departmental safety and security policies and procedures as well as applicable job safety responsibilities. Reports and safety concerns, compromises, or hazards affecting operations, the public, self and/or other employees. Responsible for personal safety and is encouraged to promote the safety of others
Performs other duties and assignments as directed

Required

High School Diploma or equivalent with a minimum eight (8) years of administrative/ secretarial experience in office procedures and reports required
An equivalent combination of education and experience (one (1) year of post high school education equating to two (2) years of relevant experience) may be considered in lieu of the above listed requirements
Must possess excellent typing, Microsoft Word and Excel skills
Demonstrate experience in working with highly confidential issues and material in a discreet manner is required
Must possess excellent verbal and written communication skills, including good spelling, grammar, and proofreading skills required
Must possess or develop an understanding of CAPES computer applications and/or comparable applications required
Must possess good telephone skills with the ability to ascertain pertinent information and properly prioritize its importance required
Must possess strong administrative and organizational skills required
Ability to manage simultaneous responsibilities in a diverse demanding environment
Excellent interpersonal skills required to deal effectively with a wide range of individuals at all levels
Prior to interview, candidate must pass current AA testing requirements established by the Testing Department (or have been previously qualified under prior testing standards)
