Responsibilities

Oversee financial management activities, including basic bookkeeping functions such as AP/AR, journal entries, and coordination with a third-party payroll processor
Manage financial operations including paying business expenses, invoicing clients, and maintaining accurate records in QuickBooks Online
Monitor office expenditures, manage vendor and office contracts, and implement cost-saving measures to prevent overspending
Maintain organized financial files, contracts, and records to ensure compliance and accessibility
Support financial reporting processes, including familiarity with P&L statements, balance sheets, and cash flow reports, and collaborate with external accountants
Serve as office and building manager, overseeing daily office operations and ensuring a safe, clean, and productive work environment
Own and oversee office maintenance, supplies ordering, and overall office culture
Provide administrative scheduling and executive support, including calendar management, meeting coordination, travel booking, and expense reporting
Lead HR-related functions including recruiting, hiring, onboarding, benefits administration, and employee support
Support Executives and Senior Managers with ad hoc projects, interview coordination, and special initiatives

Required

2 - 3 years of relevant experience in financial management and bookkeeping functions
Proficiency in QuickBooks and HRIS software
Strong proficiency with Microsoft Office and familiarity with Office 365
Experience providing executive-level administrative support
Outstanding communication, interpersonal, and collaboration skills
Strong analytical, problem-solving, and organizational skills with high attention to detail
Ability to manage sensitive and confidential information with discretion
Ability to multitask across departments with strong time management and adaptability
Willingness to learn and thrive in a fast-paced startup environment

Preferred

Industry experience within technology, media, or startup environments
Bachelor's degree in a related field preferred
