Responsibilities
Performs administrative support duties
Collects, reconciles, and maintains complex budget data
Coordinates and implements departmental processes
Monitors budgets, accounts, and expenditures for 10 departmental budgets
Recommends to the supervisor internal policies and procedures, clerical functions, and work-flow to ensure effective and efficient operation
Manages all financial operations for the Department of Campus Activities & Involvement, including weekly budget reconciliation (COGNOS), same-day processing of purchase requests into Bearkat Buy, and timely vendor payments within one business day after events
This position oversees the procurement card processes, ensures compliance with receipt collection and reconciliation requirements, prepares monthly reports, and processes interdepartmental transfers
Manages all front-desk operations and office inventory
Manages the Campus Life Development Fund budget and maintains regular communication with committee members and student organizations
Administrative operations require maintaining a consistent office presence during core business hours (8:00 AM – 5:00 PM, Monday-Friday), monitors and responds to departmental emails and phone calls, manages office inventory and supplies, and coordinates space management and meeting room scheduling
Provides comprehensive support for department operations and serves as a primary point of contact for staff and students
Oversees student employee management, including monitoring Work Study eligibility and processing all hiring paperwork through EPAFs
As the primary coordinator for the Campus Life Development Fund, this position schedules and coordinates all committee meetings with appropriate advance notice, attends meetings to take minutes and track action items, and serves as the main contact for all inquiries
Maintains ongoing communication with committee members regarding applications, available budgets, and meeting reminders, while also coordinating with student organizations about committee decisions, purchases, and delivery timelines
Performs other related duties as assigned
Qualification
Required
Bachelor's degree in related field
Four years relevant administrative coordinator experience or experience in a related field
Must be a current Sam Houston State University employee in order to be considered for this position
Preferred
Experience in Higher Education is desirable
