Executive Assistant - Future Client Success Manager

They are seeking a highly organized Executive Assistant to support the CEO and ensure operational excellence while managing client coordination and project oversight.

Responsibilities
Manage and optimize the CEO’s calendar with exceptional attention to detail, alignment, and priority awareness
Manage complex travel and scheduling logistics with precision—ensuring accurate itineraries, proactive conflict resolution, and seamless coordination of all details
Manage confidential communication, inboxes, and follow-through on action items
Prepare agendas, take notes when needed, and ensure timely, accurate follow-up
Prepare professional correspondence and communication on behalf of the CEO
Support operational efficiency by anticipating needs, identifying gaps, and improving processes
Own the master calendar for all deadlines, client engagements, and company deliverables
Use project management tool to maintain timelines, workflows, and visibility across all projects
Independently manage a wide variety of projects from start to finish with minimal oversight
Anticipate bottlenecks, identify conflicts early, and proactively resolve issues
Serve as the primary point of contact for client onboarding, scheduling, and ongoing communication
Maintain consistent, timely follow-through to ensure an excellent client experience
Manage the CRM with complete accuracy of client details, touchpoints, and next steps
Track commitments, session details, and deliverables to ensure seamless execution for all clients
Support engagement by communicating updates, next steps, and scheduling details with clarity and polish
Build strong, trust-based relationships with executive clients and partners
Support business development through opportunity research, follow-up, and communication
Assist with applications for speaking engagements, leadership events, and organizational opportunities
Conduct outreach to organizations and schedule introductory or discovery calls
Support proposal preparation, formatting, editing, and submission
Support logistics for leadership workshops, training programs, and client events
Assist with presentations, proposals, and client communication materials
Provide support to events and special projects as assigned by the CEO
Qualification
Required
3+ years in executive support, operations, project coordination, or client success roles
Exceptional organization, time management, and communication skills, with the ability to manage multiple priorities
Anticipates needs, identifies issues early, and takes initiative with confidence
Manages complex schedules and multiple projects with accuracy, urgency, and consistency
Brings a client-focused mindset and builds strong, trust-based relationships
Proficiency in Google Workspace, CRM systems, and project management tools (Trello, Monday, Asana, ClickUp, or similar)
Demonstrates sound judgment, independent thinking, and confidentiality across all responsibilities
