Responsibilities
Track progress on tasks assigned to cross-functional contributors and external partners
Facilitate clear, efficient communication between internal and external stakeholders
Maintain detailed action-item logs documenting owners, due dates, status, and follow-ups
Lead note-taking and documentation for recurring internal project meetings
Attend external stakeholder meetings and capture detailed, actionable meeting notes
Proactively identify communication gaps or process inefficiencies and recommend improvements
Support additional workstreams as needed, including documentation and vendor service contract coordination
Maintain consistent, up-to-date project documentation using digital collaboration tools
Assist with external tenant requests and coordination of amenities or service implementations
Qualification
Required
Advanced project coordination and multi-stakeholder management
Proactive, clear communication and issue escalation
Consulting experience supporting mid-to-large organizations
Experience coordinating complex, multi-stakeholder projects
Strong consulting background, ideally with large consulting firms
High proficiency in SharePoint and Microsoft Office (Word, PowerPoint, Excel)
Exceptional real-time meeting note-taking and action tracking skills
Ability to plan, facilitate, and document meetings with accountability
Flexibility to adapt to shifting priorities and timelines
Doctorate degree OR
Master's degree and 2 years of experience OR
Bachelor's degree and 4 years of experience OR
Associate's degree and 8 years of experience OR
High school diploma/GED and 10 years of experience
Preferred
Experience supporting site transitions or facilities-related workstreams
Familiarity with amenities implementation and external tenant coordination
Experience in biotech, pharma, or other regulated industries
