Bayhealth Medical Center is Central and Southern Delaware’s healthcare leader, seeking an OR Scheduler to manage surgical and procedural information for patient safety. This multifaceted role includes scheduling, record keeping, and communication with medical staff to ensure a seamless surgical experience.

Responsibilities

Scheduling: Transcribes scheduling information utilizing basic knowledge of anatomy and physiology, medical terminology and uses accepted abbreviations, according to HIPAA and BHMC policies. a. Verifies all scheduling information with surgeon/ office personnel appropriately within acceptable time frame to ensure accurate scheduling. b. Schedules patient PAT/Endoscopy and/or Infusion appointments. c. Performs confirmation of surgical schedule daily, in collaboration with charge nurse. Ensures next day schedules are closed at 2 PM. d. Distribution of surgical schedule, according to established Bayhealth parameters. e. Maintains meticulous records of scheduling documents and efforts
Chart Prep: a. Reviews all and logs in all received information from electronic fax for accuracy. b. Includes review and verification of presence of patient name, date of birth, surgeon, intended procedure date, history and physical, permit, orders, required diagnostic testing results (labs, EKG, type & screen/type & cross, chest x-ray, etc.), medical clearances (including but not limited to medical, cardiac, pulmonary as required by surgeon/anesthesia). c. Collaborates and communicates with the physician office staff, practice managers, PAT/Day Surgery/Endoscopy Registered Nurses and Anesthesia providers. d. Promptly reports discrepancies that would impede successful scheduling of an operative or endoscopy procedure
Record Keeping/Auditing: Performs systems audits for all patient related data to assure integrity of data. Ensure 99% of all cases are properly audited. a. Perform daily charges audit functions, as requested, in preparing Compliance Reports for receipt of patient information. b. Provides daily 48 hr compliance report information to Director/Manager c. Provides monthly 72 hr compliance report for SSEC and SOWG meetings as requested. d. Keeps a repository of patient information, organized by physician folder and date of service. e. Collaborates with Business Office/Patient Access to supply information as requested for discrepancies in billing/charging processes. f. Assists with operational reports as needed for payroll, shared governance, performance improvement and other functions as requested
Information Systems: Obtains and maintains proficiency in use of scheduling and reporting systems – PHS, HSM, STAR. Portal, EPIC and the electronic medical record system a. Complete and on-going training of order entry program, Utilizes the computer terminal for order entry/retrieval with accuracy
Process Documentation a. Keeps all documentation regarding assigned processes and all charging functions current. b. Maintains an organized system to ensure that all documentation received in PAT/DS/Endoscopy is complete. c. Documents/reports any detail related to scheduling and/or corrections on patient documents are reconciled/retrieved as needed d. Reviews/Inputs daily charges as requested
Chart/Medical Record Documentation a. Transcribes doctors’ orders utilizing basic knowledge of anatomy and physiology, disease processes, medical terminology, and accepted abbreviations, according to Health Information policies and procedures. b. Files reports on the patients’ charts and maintains the patients’ charts for each shift/day. c. Enters daily orders for diagnostic and lab tests, therapies, medical consults, EKGs and diagnostic studies for the required patient population. d. Coordinates scheduling of patients’ tests, therapies and diagnostic procedures
Communication a. Communicates medication orders to pharmacy via fax or telephone. b. Scans pre-op orders to pharmacy c. Operates the hospital paging system and fax machine according to hospital policy
Critical Support Duties a. Prepares agendas, reports and information as requested. b. Designs spreadsheets for reporting of critical patient information data. c. Provides clerical support to nursing staff, CRNAs, Physician staff and management d. Provides census/acuity data and/or other data and statistics as requested
Maintains and follows all established Bayhealth departmental policies and procedures, standards of care, performance improvement plan, safety guidelines and infection control standards, including adherence to JC and HIPAA regulations, personnel policies and procedures
Demonstrates accountability for personal and professional growth. a. All Employee health requirements are met on time. b. Attends departmental staff meetings and pertinent in-services offered within the BHMC system. c. Attends all computer systems training and upgrade sessions required to maintain adequate understanding and use of established data systems. d. Actively participates in orientation and training of staff in all aspects of assigned functions e. Embraces change in the work schedule and assignments /tasks when necessary
Plans and executes an organized work area utilizing cost consideration and conservation of resources and supplies to maintain work flow. a. Utilizes assigned equipment properly. b. Monitors office supplies to maintain reasonable and cost-effective par levels. c. Reports all repair and service needs promptly. d. Secures work area and computer access when left unattended
Demonstrates the ability to incorporate current concepts into his/her daily practice. a. Participates in committees, Shared Governance, Magnet initiatives, projects and work groups to support advancement in clinical practice. b. Participates in staff meetings, case conferences, and department meetings at a minimum of 75% of the meetings. c. Seeks out and participates in lifelong learning activities
