Secretary III
The University of Iowa Research is seeking a Secretary III to perform various secretarial tasks under general supervision. The role involves maintaining records, providing clerical support, and interacting with the public, students, and staff.
Research
Responsibilities
Interviewing, hiring, training, and supervising part-time student desk staff
Providing primary clerical support, including desk coverage
Operating office equipment including copy machines, computer, etc., in performance of regular tasks
Composing correspondence within established guidelines
Answering a multi-line phone, screening calls, and taking organized messages
Greeting, assisting, and scheduling appointments and room reservations with the public, students, faculty, and staff
Referring students, public, and staff to proper campus resources
Maintaining records on personnel, student discipline, and financial-related information utilizing software such as StarRez, Maxient, and MAUI, as well as assisting with or performing reconciliation of Transaction Detail Reports (TDR)
Maintaining security and key inventory records of the building, including completing key inventory
Maintaining office supplies
Sorting & filing forms, reports, and correspondence according to departmental policies and procedures
Assisting staff with emergency response procedures & taking appropriate action
Participating in ongoing staff meetings and staff developments
Attending meetings that include one-on-ones with supervisor, weekly Residence Education staff meeting, and participating in Residence Education committees if interested
Qualification
Required
Any combination of related clerical office experience, related undergraduate education and/or post high school clerical training that is the equivalent to four years of full-time employment and includes the use of word processing
Preferred
Experience leading others and/or supervision of staff
Experience working in a position that requires high volume public contact, multi-tasking and answering multi-line phones on a regular basis involving internal and external customers
Experience working in a customer service environment
Excellent verbal, written and interpersonal communication, with the ability to effectively work in collaboration with staff, students and the public
Demonstrated ability to follow oral/written instructions, collect data, and maintain records
Demonstrated ability to learn and use technology including email and Microsoft Office products
Excellent organizational skills, as well as demonstrated attention to detail
Demonstrated ability to use good judgment
