Responsibilities
Coordinate scheduling of on-site work with clients, technicians (internal and external), and vendors
Conduct daily check-ins with technicians and clients to confirm schedules, access, and readiness
Collect end-of-day progress reports from technicians
Monitor work status and escalate issues or conflicts promptly and professionally
Coordinate with clients, vendors, and partners to collect required data and documentation
Prepare, route, and track forms for e-signature
Follow up persistently and professionally on outstanding items
File and organize documents and data within SharePoint following established naming conventions
Create, send, and follow up on client invoices
Provide miscellaneous bookkeeping and administrative support as needed
Coordinate with our accounting and fractional CFO partner
Perform light research and ad-hoc administrative tasks
Support internal projects and process improvements as assigned
Qualification
Required
Ability to work remotely
Availability to provide at least 1–2 hours of support daily, Monday–Friday
Strong written and verbal communication skills
Comfortable interfacing directly with clients, technicians, and vendors
Highly organized with strong follow-through
Proficient with: Zoom, Microsoft Office (Outlook, Word, Excel), SharePoint, Asana, and QuickBooks Online
Preferred
Prior experience in administrative, operations, or coordination roles
Experience supporting professional services, construction, energy, facilities, or asset management teams
Familiarity with scheduling field-based teams or vendors
Located in Northern California and able to attend occasional in-person check-ins near Turlock, CA
