Finance & Office Administrator (Financial, Management & Executive Reporting | Controller Track)
Confidential is a growing, operations-driven business in Central Florida seeking a Finance & Office Administrator to own financial accounting, management accounting, and the end-to-end executive reporting process. The role includes hands-on bookkeeping and data entry, along with cross-department coordination and analytical responsibilities, with a clear pathway toward a Controller track as the company scales.

Responsibilities
Hands-on bookkeeping and data entry in QuickBooks
AR: invoicing, payment tracking, collections
AP: vendor bills, scheduling and processing payments
Payroll processing for W-2 employees and 1099 subcontractors
Subcontractor compliance: W-9s, COIs, Workers’ Comp documentation
Coordination with CPA on tax prep, filings, audits, and insurance reviews
Maintaining clean, accurate, audit-ready financial records
Monthly close support and internal financial reporting
Cash flow monitoring and short-term forecasting
Tracking key financial ratios and operational drivers
Identifying trends, inefficiencies, and margin risks
Supporting job-costing or project-level financial tracking
Working with department leads to define and standardize KPIs
Following up to ensure data is submitted accurately and on time
Improving reporting processes as the company scales
Acting as the central point of accountability for business metrics
Qualification
Required
4–7+ years experience in bookkeeping, accounting, or finance administration
Comfortable with transactional accounting and analytical reporting
Experience compiling reports and coordinating data across teams
Strong follow-up, communication, and accountability skills
Preferred
Experience in construction, manufacturing, or operations-heavy businesses is a plus
Spanish/English bilingual is a plus, not required
