Executive Assistant Human Resources Coordinator
Autumn Communications is seeking a proactive People & HR Generalist to manage the end-to-end employee lifecycle. The role involves facilitating recruitment, onboarding, and employee management while optimizing HR technology and enhancing agency culture.
Responsibilities
Talent Acquisition & Onboarding
Manage a full cycle for recruitment, including initial screening, conducting interviews for the majority of staff, and managing reference checks. Drafting and send offer letters, facilitate background checks, and handle new team member verifications
Seamless Onboarding: Assist in the "Welcome" experience by sending introductory emails, setting up Slack aliases, adding members to relevant groups, and configuring profiles in Lattice
Employee Life Cycle Management
Execute on the operations, processes related to the employee life cycle, including onboarding, role and compensation changes, performance reviews, and offboarding
Develop and deliver employee-facing resources and training to support professional development
Manage and optimize People systems and technology, including Monday.com, Lattice.com, Paycom, Ramp, etc
Partner with the team to coordinate performance review cycles, engagement surveys, and other company-wide people programs
Oversee termination emails and ensure all offboarding checklists are completed accurately
Agency Operations & Administration
Lead and support Operation team projects from start to finish, applying strong skills to keep initiatives organized, on schedule, and aligned with company priorities
Facilitate team changes and maintain real-time accuracy
Facilitate the admin side of new client setups (Slack groups, email aliases, and updating the active class list)
Culture & Morale
Engage in office morale and organize ongoing agency-wide activities
Take on new projects and responsibilities as assigned, with flexibility and a solutions-oriented mindset
Continuously seek ways to improve processes, programs, and the overall employee experience
Benefits & HR Administration
Act as the internal expert for our benefits package, helping employees navigate 401k enrollment, health insurance questions, and leave policies
Track and manage sick leave, vacation accruals, and FMLA/PFL requests in accordance with state laws
Partner closely with finance on Payroll and Ramp
Qualification
Required
3–4 years in HR, People Ops, or Talent Acquisition (Agency experience is a plus)
Proficiency in Lattice, Airtable, Slack, and G-Suite is highly preferred
Exceptional written and verbal communication skills
High level of integrity when handling sensitive compensation data and termination procedures
A solid understanding of California/NY and federal employment laws and HR best practices
A proactive, solutions-focused mindset and a love for continuous improvement
Experience supporting benefits, and compliance programs
