Practice Coordinator FT South County

Responsibilities
Upholds the mission, vision, and values of CNE. Responds timely to provider needs, escalates issues as appropriate, and participates in the development of action plans aimed to improve the provider experience
Maintains administrative support activities to ensure the effective and efficient operations of assigned practices
Ensures employee satisfaction for the practice(s) managed. Collaborates with practice leadership and other stakeholders to develop and implement action plans to improve the employee experience
Develops and maintains staff schedules to support the providers in the delivery of patient care
Manage inventory control and purchasing of office and medical supplies
Process employee and clinician payroll per policy
Oversees front end financial processes including the collection of demographic and insurance information, insurance verification, pharmacy information, referrals, medical necessity, and prior authorizations. Monitors the collection of patient financial responsibility. Ensures timely reconciliation of the cash drawer(s). Prepares daily deposit
Manages the timely resolution of coding and professional billing work queues and other work queues as assigned to the practices. Delegates work to office staff as appropriate and provides feedback to staff and providers to prevent errors and denials from occurring in the future. Proactively implements process changes to prevent errors and denials from occurring
Monitors operational metrics including, but not limited to, visit volumes, RVUs, schedule utilization, next available appointment, no-show rate, cancel/reschedule rate, and charge lag. Identifies barriers to achieving target and collaborates with Practice Administrator, clinicians, and staff to develop and implement solutions for reaching designated targets
Holds daily huddles with staff and providers. Conducts monthly staff meetings to address organization and practice initiatives
Assists the Practice Administrator (PA) and/or Manager (PM) with the supervision of staff. Provides ongoing support to ensure employees are competent to perform their duties. Distributes and reviews their work and reports any compliments or concerns to the PA/PM
In coordination with the PM/PA, interviews, hires, and ensures that new employees are properly oriented to the practice and their new role. Collaborates with teams across CNE and CNEMG to successfully onboard all new providers
Assists in developing and implementing departmental manuals and procedures
Reports and responds to all safety and quality issues using CNE’s event reporting system. Informs Practice Administrator of all safety and quality issues
Supports the practice by filling in for staff during periods of staff shortages due to open positions, vacations, illness, or leave of absence
Monitors quality and patient satisfaction metrics and assists in the design and implementation of action plans to drive continuous improvement. Addresses and resolves patient concerns and complaints
Performs other duties as assigned
Qualification
Required
High School or GED required
A minimum of three (3) years of administrative experience in a medical practice setting is required
Preferred
Associate's degree preferred
Prior experience in a supervisory capacity is preferred
