Administrative Coordinator- Region 4 Jail Team
Richmond Behavioral Health is seeking an Administrative Coordinator to join their Regional Programs. The role involves providing skilled administrative support to the Region 4 Jail Team, managing confidential information, and ensuring compliance with legal standards while preparing various reports and maintaining accurate records.

Responsibilities
Provides administrative support to the Region 4 Jail Team, Jail-Based Restoration Unit at Riverside Regional Jail, and other assigned programs
Processes court orders and referrals for services within established timeframes
Collaborates with courts, attorneys, and other community partners to obtain relevant information for court orders in accordance with Virginia statutes and best practices
Manages confidential psychological, medical, and legal information in an ethical manner and in accordance with legal standards
Ensures accuracy and validity of information to comply with statutory obligations. Collects and compiles statistical data to prepare monthly reports
Updates consumers' files, database records and various tracking documents as needed
Prepares timesheets for assigned personnel; collects leave documentation; forwards electronic timesheets to appropriate personnel
Maintains an inventory of office supplies; orders supplies as needed
Prepares and submits reports for management as required ensuring compliance of all State and Federal regulations
Creates and compiles expenditure spreadsheets from invoices; verifies accuracy of invoices; reviews and submits reimbursement and refund requests
Prepares monthly meeting minutes of staff meetings and other meetings as required
Ensures appropriate forms are used by staff; maintains all manuals held by staff and supervisory levels; prepares and updates forms; maintains original packets for intake, assessment and annual reviews
Creates marketing items for consumer referrals as needed including greeting cards, presentation board for events, etc
Maintains staff contact list including staff listings, email address book and website
Collects employees and consumers suggestions; generates monthly reports for Managers and/or Directors
Provides training for other administrative staff on various software packages; troubleshoots hardware, software and office equipment issues within assigned programs
Organizes, reconciles and distributes multiple daily schedules; schedules and reschedules appointments for consumers as required
Files and scans various documents
Performs special projects as assigned
Qualification
Required
High level of skilled administrative support experience
Ability to plan, monitor, and coordinate various programs, activities, and staff
Experience maintaining records and files
Ability to prepare reports
Experience with accurate and timely data entry of consumer information into electronic systems
Ability to process court orders and referrals for services within established timeframes
Experience collaborating with courts, attorneys, and community partners
Ability to manage confidential psychological, medical, and legal information ethically
Ensures accuracy and validity of information to comply with statutory obligations
Experience collecting and compiling statistical data to prepare monthly reports
Ability to update consumers' files, database records, and various tracking documents
