CDA-Animal Health Adminstative Assistant Reallocation (Adminstrative Assistant III)

Responsibilities

Providing quality customer service via phone (1 of 2 primary positions to answer phones) and email
Answering the phone to gather information and to relay import requirements for livestock entering the state, and when necessary, issuing a permit number to the caller
Receives Certificates of Veterinary Inspections and other movement records for preparation and entry into the data repository
Receives and updates missing information from animal movement forms from veterinarians and responds to requests for information from other state agencies
Processes health certificates/Certificate of Veterinary Inspections (CVIs), which involves ensuring accuracy, completeness, and acceptability of materials and following up on incomplete or insufficient information
Reviews those health certificates for compliance and coordinates with veterinarians to resolve any noncompliance issues before escalating them to the traceability team
Converts hard copy documents or records to electronic files by operating scanners, office printers, and other data storage devices
Assists in training new hires on database use and other duties as needed
Processing mail when in the office
Filing, organizing, and assisting other staff as necessary
Any other duties as assigned

Required

Three (3) years of high level experience in administrative support in an office setting
A combination of education and experience as administrative support in an office setting equal to three (3) years
Excellent interpersonal, communication
Detail oriented
Knowledge of basic administrative duties
Excellent customer service skills, in person and over the phone
Proficient use of computer applications (MS Work, Excel, ect) and Google Docs
Ability to write detail-oriented reports
Excellent communication skills; able to communicate effectively and articulately in writing and orally with diverse communities in all corners of the state
Work well under pressure
Highly resourceful team-player, with the ability to also be extremely effective independently
