Clinical Project Assistant

BBOT is a small, innovative biotechnology company focused on advancing novel therapies to address serious unmet medical needs. The Clinical Project Assistant will provide administrative and operational support to the Clinical Operations team and assist in the day-to-day execution of clinical trials.

Responsibilities

Provide administrative and operational support to one or more clinical studies
Support clinical trial activities, managing trial data, and maintaining trial documentation, including tracking/reconciling subject lab samples, and maintaining study trackers
Assist with the preparation, filing, and maintenance of the Trial Master File (TMF) in accordance with GCP and company standards
Support study start-up, maintenance, and close-out activities as assigned
Track study deliverables, timelines, and action items; follow up with internal teams and vendors as needed
Assist in the preparation, review, tracking, execution, and distribution of study documents (e.g., meeting agendas/minutes, tracking logs, training materials, contract execution and filing)
Support document version control and archival processes
Enter and maintain study data in clinical systems (e.g., CTMS, eTMF, training systems)
Schedule and coordinate internal and external study meetings
Take meeting minutes and distribute action items
Serve as a point of contact for routine study communications under supervision
Collaborate cross-functionally with Clinical Operations, Clinical Development, Regulatory, Data Management, and vendors
Assist with vendor tracking, invoice processing, and budget documentation
Support vendor onboarding and study-related training logistics
Support inspection readiness activities
Assist with process improvement initiatives and development of templates/tools
Perform other Clinical Operations tasks as assigned

Required

Bachelor's degree in life sciences, health sciences, or a related field
Strong organizational skills with attention to detail
Ability to manage multiple tasks and prioritize effectively
Excellent written and verbal communication skills
Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
Interest in clinical research and drug development

Preferred

Internship or 0–1 year of experience in clinical research, healthcare, or a regulated environment
Familiarity with GCP and clinical trial processes
Experience with clinical systems (eTMF, CTMS)
Experience working in a startup or fast-paced environment
