Business Office Manager with Medicaid billing knowledge
Cassena Care is seeking a Business Office Manager with surgical center experience to join their team. The role involves managing resident financial accounts, coordinating Medicaid applications, and ensuring accurate billing and collections in a healthcare setting.

Responsibilities
Distribute cash and post daily deposits Resident Trust Account, reconcile monthly, close accounts for discharged residents, follow up on outstanding checks, and all other responsibility per RTA Policy
Complete tasks as requested by Administrator and Corporate A/R manager
Enroll Direct Deposit and complete Rep Payee requests as needed
Enroll Medicare D plans
Compiling and submitting Medicaid applications
Follow up on new admissions and conversion payments immediately upon admissions or 1st day of private pay
Verify payment source upon admission and verify prior balances
Meet with Administrator at least BI-WEEKLY to discuss outstanding debts and determine action
Attend weekly U/R meeting
Coordinate Medicaid applications and renewals for our residents
Gather and submit required documentation by working with our residents and their families
Communicate with local departments of social services and Medicaid offices
Manage resident financial accounts and billing
Experience in all aspects of billing and collecting unpaid Medicare, Commercial/HMO & Private Pay accounts
Knowledge of electronic billing processes
File, scan, and maintain resident files
Serve as point person for escalated billing and insurance disputes from clients, staff, and insurance carriers
Collaborate with insurance representatives to resolve reimbursement discrepancies or claim issues
Maintain clear documentation of communications, appeals, and dispute resolutions
Manage the billing workflow for two mental health clinics, ensuring accurate and timely claim submission
Monitor claim status, address rejections, and work closely with billing partners to resolve denials
Conduct routine audits of billing accuracy, CPT coding alignment, and documentation compliance
Track and report on revenue cycle KPIs (e.g., days in A/R, denial rate, clean claim rate)
Qualification
Required
Previous business office/ finance/ Medicaid experience in a long term care setting is a MUST
Knowledge of government payer sources, eligibility and researching denied claims as well as positive communication skills (both verbal and written)
Good working knowledge of excel, word, outlook and billing software
Medicaid billing: 1 year (Required)
Business office in surgical center: 1 year (Required)
