Responsibilities
Meet Global and Site Procurement Representatives to understand roles, responsibilities, and the CAPEX project support model
Understand project-specific goals, deliverables, timelines, and procurement requirements
Take over CAPEX projects and related procurement tasks from the outgoing Project Procurement Lead where applicable
Align with stakeholders on urgent tasks and priorities
Establish cooperative relationships with engineering, project management, and other business functions
Complete mandatory training on Takeda’s Capital Procurement Process, Procurement Policy, Contracting Policy, and relevant systems (Axxerion, Coupa, invoice/payment management)
Understand local site requirements including EHS regulations and procedures
Understand the equipment and services list of the projects and identify priority items
Prepare tender documentation (RFPs, price sheets, draft MSAs) in line with project requirements
Plan and track procurement activities using Takeda templates for Procurement Planning and Tracking Tables
Check existing contracts and prepare new Master Services Agreements where necessary
Prepare and manage Confidentiality Disclosure Agreements (CDAs) with suppliers
Finalize a long list of eligible suppliers with verified contact information
Lead CAPEX procurement activities in line with the approved Project Procurement Plan
Prepare documentation for competitive selection processes including specifications, Instructions to Bidders, price sheets, and draft agreements
Obtain Single Source Justification approvals in compliance with Procurement Policy
Develop evaluation matrices for technical, commercial, and legal assessment
Execute competitive selection processes: sending invites, clarifications, bid collection, and bid opening
Lead bid evaluations and align recommendations with Takeda’s Procurement Team
Prepare negotiation strategies and lead supplier negotiations with involvement from subject matter experts
Facilitate awarding and contracting with selected suppliers
Ensure purchase requests and purchase orders are approved and confirmed
Report and document savings realized from procurement activities
Close contracts with suppliers, manage final payments, and complete final performance reviews
Document lessons learned and communicate to project stakeholders
Transfer equipment, contracts, and guarantees to operational teams with proper handover documentation
Participate in project close-out discussions with the project team
Maintain effective communication with project teams, procurement teams, and other internal and external stakeholders
Collaborate with global category managers to identify synergies and cost reduction opportunities
Prepare detailed procurement tables and regular reports (weekly/monthly) on project progress
Ensure procurement documents are uploaded and maintained in the document management system
Qualification
Required
Bachelor's degree in Supply Chain Management, Engineering, Business Administration, or related field
Proven experience in procurement for CAPEX projects, preferably in the pharmaceutical or manufacturing industry
Strong knowledge of procurement processes, contract management, tendering, and supplier negotiations
Experience with procurement software and systems (Axxerion, Coupa, Ariba E-Sourcing)
Familiarity with CAPEX project planning, tracking, and reporting
Excellent communication, collaboration, and stakeholder management skills
Strong analytical, organizational, and problem-solving abilities
