Legal Receptionist/Administrative Assistant

Responsibilities
Greet clients, visitors, and staff warmly at the front desk, providing exceptional customer service and maintaining a professional office atmosphere
Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently using proper phone etiquette
Schedule appointments, coordinate calendar management for attorneys and staff, and handle incoming correspondence
Proofread legal documents for accuracy, assist with new client intake, screening calls, date entry into case management systems
Provide administrative support such as copying, scanning, faxing, and preparing legal documents as needed
Maintain discretion and confidentiality in all client interaction and file handling
Qualification
Required
Prior experience working in an office environment with clerical or administrative responsibilities
Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools (Gmail, Calendar), and data entry skills
Strong organizational skills with the ability to manage multiple tasks efficiently in a fast-paced setting
Excellent customer service skills coupled with professional phone etiquette and clear communication abilities
Maintain discretion and confidentiality in all client interaction and file handling
Preferred
Previous experience in a legal or medical receptionist role
Bilingual fluency to serve diverse client needs effectively
