SR. CLERICAL SUPERVISOR / RECORDER OF DEEDS
St. Charles County Government is seeking a Sr. Clerical Supervisor / Recorder of Deeds to supervise staff and support administrative activities while ensuring compliance with state law. The role involves overseeing customer service functions, managing clerical staff, maintaining payroll information, and assisting with daily operational activities.
Government Administration
Responsibilities
Supports and assists management team members on a daily basis to accomplish administrative objectives and responsibilities
Supervises clerical staff to ensure policies and procedures are met, including verification of staff
Provides training and performance evaluations for assigned clerical staff
Maintains payroll information for subordinates
Schedules subordinate activities. Ensures work flow of unit. Assists with daily reconciliation and bank deposits
Resolves problems and researches any discrepancies in the daily balance. Ensures the timeliness and accuracy of recording documents
Answers subordinate questions. Interprets statutes and department procedures to ensure the accuracy of indexing, ability to record documents, issuance of marriage licenses, etc
Intercedes with difficult customer relations
Reviews and verifies daily reports for unit
Maintains knowledge of state statutes and office procedures for all functional units, acts as back-up to the Assistant Recorder
Works on the floor to assist with the day to day unit activities, and to ensure that operational activities, projects and objectives are completed in a timely manner
Assists with equipment, software or computer problems
Assists Recorder and Assistant Recorder with subordinate personnel issues and with revising department procedures
Performs the duties of subordinate team members as needed
Decides when to call for service on office equipment as needed
Performs other duties as assigned
Qualification
Required
General/technical high school diploma or GED equivalent
3-5 years of experience
Two years vocational or other training in the secretarial or clerical field, plus a minimum of three years responsible clerical experience and experience with the public
Employment is contingent on successfully passing a full criminal background check
Preferred
Prior experience as a lead worker with in-depth knowledge of functions and state statutes of a Recorder's Office is preferred
