Administrative Assistant - Human Resources
Spring-Ford Area School District is hiring an Administrative Assistant to work within the Office of Human Resources. The role involves providing overall office support to ensure the smooth and efficient operation of the HR office, including maintaining employee information and assisting with various HR processes.

Responsibilities
Maintains and updates all employee information in the Skyward database, including changes to name, address, certification, etc
In conjunction with the Assistant Director of Human Resources, is responsible for the year-end roll in Skyward and ensuring data is accurate
Responsible for creating and tracking purchase orders for the Office of Human Resources
Tracks Act 34, Act 151, and Act 114 clearances for employees, vendors, independent contractors, and volunteers. Includes: entering information into database and scanning documents; notifying individuals of when clearances expire; obtaining clearances from new vendors, independent contractors, and volunteers; notifying the Director of Human Resources of any issues/concerns/questions about a record on a clearance; and notifying the Director Human Resources of employees, vendors, independent contractors, and/or volunteers who have failed to obtain clearances or updated clearances
Responsible for sending and obtaining Act 168 Sexual Misconduct/Abuse Disclosure Release forms for potential job candidates as directed by the Director Human Resources and for pulling employee files for review of incoming Act 168 requests
Responsible for ensuring accuracy of volunteer information in volunteer software
Tracks employee completion of Act 126 Mandatory Reporter Training, Sexual Harassment Training and other applicable training requirements and serves as the liaison between Vector Solutions and the district; for adding/removing employees as needed; setting viewing requirements for various employee groups, as directed by the Director of Human Resources; and for notifying employees if training requirements have not been met
Assists as needed for issuing employee badges: taking pictures; processing ID badges; entering new employee information into database; activating/de-activating building access; and removing employees from database as needed
Works with the Athletic Department and building administration in preparing and maintaining extra-curricular contracts
Accurately prepares Personnel recommendations for the School Board Agenda and sends notification to Personnel of School Board action following the last School Board meeting of the month
Tracks receipt of bi-annual Temporary Professional Employee Evaluations and annual Professional Evaluations
Assists with the on-boarding and off-boarding process for new hires or exiting employees
Prepares and distributes annual salary letters to all Spring-Ford Area School District employees
Updates forms in Frontline Central as needed. Reviews the existing forms annually for accuracy and relevance
In conjunction with Human Resources colleagues, maintains electronic personnel files
Assists other staff in Office of Human Resources as needed
Performs any other job-related duties/projects assigned by the Director of Human Resources
