Responsibilities
Manage supervisor’s calendar and independently schedules appointments
Screen incoming calls and correspondence and responds independently when possible
Prepare memorandums outlining and explaining administrative procedures and policies and monitor compliance
Prepare invoices for payment, ensuring backup materials are attached, make copies, and file into a proper file
Create and update employment files. Assist employees with forms; leave requests, payroll deduction authorization, etc
Create and complete timecards for each employee and ensure they complete and sign. Complete, submit and release payroll in Oracle
Arrange programs, events, or conferences by arranging for facilities and caterers, issuing information or invitations, coordinating speakers, and controlling the event budget
Directly prepare of records such as agendas, notices, minutes, and resolutions for company meetings
Act as custodian of corporate documents and records
Compose and prepares confidential correspondence, reports, and other complex documents
Create and maintains database and spreadsheet files
Arrange detailed travel plans and itineraries, compile documents for travel-related meetings and accompany supervisor when requested
Qualification
Required
Strong knowledge, understanding, and sensitivity to the Inupiat culture
High school diploma or equivalent
Three to five years of secretarial experience
Knowledge of word processing, database and spreadsheet software
Valid Alaska Driver's License
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
Ability to write routine reports and correspondence
Ability to speak effectively before groups of employees or customers
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
Ability to deal with problems involving several concrete variables in standardized situations
Preferred
The ability to speak and understand the Inupiaq language is important and preferred
